Who we are
StudioTracker (www.mystudiotracker.co.uk) is a scheduling and invoicing tool for private teachers. Teachers are the data controllers for the information they enter about their students; StudioTracker processes that information on their behalf.
What we collect
- Teacher accounts: your name and email address, provided by you or by the sign-in provider you choose (Google, Microsoft, Facebook or Apple). We do not store passwords.
- Student records: names and, if the teacher adds them, email addresses, mobile numbers and a parent or guardian name, together with lesson times and invoices.
- Payments: card payments are handled by Stripe. We never see or store card numbers; we record only that an invoice was paid and Stripe's reference.
- Technical data: standard server logs and error diagnostics needed to keep the service running.
How we use it
To sign teachers in, keep their calendar, generate invoices, send invoices and payment reminders to students by email or SMS on the teacher's behalf, and provide calendar feeds. We do not sell personal data or use it for advertising.
Who we share it with
Service providers who act on our instructions: Microsoft Azure (hosting and email delivery), Twilio (SMS) and Stripe (payments). Sign-in providers receive only what is needed to authenticate you.
How long we keep it
For as long as the teacher's account is active. Teachers can archive students at any time, and can ask for their whole account to be deleted (see Delete your data).
Your rights
You can ask for a copy of the personal data we hold about you, ask us to correct it, or ask us to delete it. Students should contact their teacher first, as the teacher controls those records; you can also contact us and we will pass the request on.
